management4health (m4h) is a network of health professionals founded in 2012, meanwhile a rapidly growing consultancy in the international health development sector. Our areas of competency include Health Systems Development, Health Services, Health Facilities and Digital Health, Innovation & Research. Our key clients include the German Development Cooperation (KfW and GIZ), the EU, the World Bank, the Asian Development Bank, national Ministries, foundations as well as private clients. The projects we implement for our clients span across Asia, Africa, the Middle East, and Eastern Europe.

m4h is currently seeking to expand its growing team in Frankfurt am Main/Germany with an experienced Office Manager.


  • Be the face of our office – warmly welcome our candidates and visitors and answering, screen, and direct incoming phone calls, preparing and organising meetings, visits, study tours
  • Throughout day-to-day operation, follow office policies and procedures, and ensure they are implemented appropriately; review and suggest updates and improvements and ensure compliance
  • Ensure that the office is operating smoothly
  • Manage schedules and deadlines, prepare minutes of meeting
  • Serve as the point of contact for office maintenance & amenities, manage inventory for office supplies/equipment and place orders as necessary (coordinate with IT as needed), handle all shipping & receiving and mail management, maintain the office filing system
  • Take ownership of our facilities – ensure that office appearance supports and provides healthy, comfortable, and productive work environment and maintain a professional look of our office including upkeep of conference rooms, kitchen cleanliness, storage organisation
  • Organising cleaning and maintenance companies
  • Act as travel liaison by booking flights, reserving hotel rooms, visa applications etc. for our employees and experts
  • Assist in monitoring employee attendance and leaves
  • Assist with the recruitment process and on-boarding of new employees
  • Provide general administrative support to our employees and assist with ad-hoc tasks and projects, depending on the needs of the team


  • Relevant educational background, preferably as Foreign Language Secretary
  • Minimum 5 years office management, administrative or assistant experience in an international environment
  • Knowledge of office management responsibilities, systems, and procedures
  • Knowledge of human resources management practices and procedures is an asset
  • Excellent written and verbal communication skills in English and German is mandatory, good knowledge of French represents an additional asset
  • Demonstrated organisational and time management skills
  • Strong organisational and planning skills
  • Ability to work accurate even under pressure and deadline focused, organised and able to prioritize multiple tasks at any one time
  • Very committed and a flexible & motivated team player
  • Open minded and proactive
  • Excellent proficiency in MS Office, with the ability to create effective PowerPoint slides and Excel sheets, experience with social media presentation and marketing activities
  • The post is based in m4h headquarters in Frankfurt am Main/Germany
